These terms apply to all translation, certified translation and revision services provided by Emmanuel Blaise Tapon, certified translator, member of OTTIAQ (No. 34551), Ottawa (Ontario), Canada (“I”), to any person or organization using my services (“you”). By accepting a quote, you accept these terms.
1. Quotes
- Every quote is free and without obligation. It specifies the service, the price, the delivery time and, where applicable, postage costs.
- The quoted price is firm for the document reviewed. If the final document differs from the one quoted (additional pages, illegible document, etc.), I will let you know and send you a new quote before starting.
- A quote is valid for 30 days.
- The assignment begins once you have accepted the quote in writing (an email is enough) and payment has been received.
2. Prices and payment
- Prices are in Canadian dollars, taxes extra if applicable.
- Full payment is required before work begins, by Interac e-Transfer (within Canada) or through Wise (bank transfer or card).
- For organizations and large assignments, other arrangements (deposit, payment on invoice) may be agreed in writing.
- An official receipt is issued for every payment.
3. Delivery times
- The delivery time stated in the quote starts when payment and all required documents have been received.
- Business days are Monday to Friday, excluding statutory holidays.
- The urgent service (24 business hours) is offered subject to availability, with a surcharge stated in the quote.
- Any delay caused by a missing, illegible or modified document extends the delivery time accordingly.
4. Your responsibilities
You agree to:
- provide complete and legible documents (front and back, all pages, including stamps and handwritten notes);
- tell me before work begins the exact spelling of proper names as they appear on your identity documents (passport, for example), if it differs from the document to be translated;
- check the requirements of the receiving organization (certified translation, OTTIAQ certified translator, notarization, paper original, etc.) and let me know.
5. Certified translation
- A certified translation is a faithful and complete translation of the document provided, accompanied by my signed statement as an OTTIAQ certified translator.
- I translate the document as it is: I cannot correct, complete or change information in the original, even if it appears to be wrong. Where needed, I add a translator’s note.
- Each organization sets its own rules. I make sure my translations meet the applicable professional requirements, but the decision to accept a document rests with the receiving organization.
- The translation is delivered as a signed and stamped PDF. A paper original can be mailed on request; postage is stated in the quote.
6. Corrections
- If you notice an error on my part (translation error, omission, incorrect transcription of a name or date), I will correct it free of charge, provided you report it within 30 days of delivery.
- Changes requested after delivery that do not result from an error on my part (spelling not provided at the outset, new document, change of recipient, etc.) may be charged, with the cost stated in advance.
7. Cancellation and refunds
- You may cancel your assignment at any time, in writing.
- If work has not started, the amount paid is refunded in full.
- If work has started, the refund covers the part of the work not yet done. The work already completed is delivered to you.
- A certified translation that has already been delivered cannot be refunded, except in the case of an uncorrected error on my part.
- These terms do not limit any rights you have under consumer protection laws.
8. Confidentiality and data
I am bound by professional secrecy under the OTTIAQ Code of Ethics. How your information and documents are handled is described in my Privacy Policy, and the use of AI tools in my AI Use Policy.
9. Liability
- I provide my services with competence and diligence, in accordance with the standards of my profession. I hold professional liability insurance.
- I am not responsible for a refusal, delay or decision by a receiving organization resulting from information contained in the original document, requirements that were not communicated to me, or an incomplete document.
- To the extent permitted by law, my liability is limited to the amount paid for the service concerned. This limit does not apply where the law prohibits it, particularly with respect to consumers.

11. Disputes and governing law

- As a member of OTTIAQ, I am subject to its Code of Ethics; you may also contact the Order’s Office of the Syndic.
- These terms are governed by the laws of Ontario and the federal laws of Canada applicable therein, without prejudice to the mandatory consumer protection rules of your province of residence.
12. Changes
I may update these terms. The applicable version is the one in force on the date the quote is accepted.
